05 / AI literacy under the EU AI Act

Mandatory since February 2025: AI literacy in your team.

The EU Artificial Intelligence Act, the AI Act for short, does not only affect software vendors. It affects every company that uses AI tools professionally.

Article 4 of the regulation has applied since 2 February 2025. It requires providers and deployers of AI systems to take measures to ensure, to their best extent, a sufficient level of AI literacy of their staff. Prior knowledge, experience, education and the context in which the AI is used are taken into account.

If you use ChatGPT, Copilot or similar tools in daily work, you are generally a deployer. The regulation does not prescribe a specific form of training. What makes sense is training that fits the tasks, and a record of what you have done.

What good AI consulting for SMEs looks like

AI consulting for small and medium-sized companies does not start with a tool, but with the tasks in the business. Good consulting asks first: which activities recur often, take a lot of time and follow a pattern? That is where AI helps most today, for example when drafting texts, summarising documents or pre-sorting enquiries.

The result is a roadmap that fits your company: which use cases come first, which tools are suitable, which rules apply and how your team is trained. Vendor-neutral, so that the recommendation fits you and not a vendor’s licence model.

AI training for employees: what belongs in it

AI training for employees pays off when it relates to daily work. Generic examples rarely stick. Anyone who practises on their own quote template or their own customer enquiry in the workshop takes what they learned back to their desk.

AI literacy under the EU AI Act

An AI workshop in your company: how it works

An AI workshop in your company starts with a preliminary talk about your processes. The workshop itself focuses on exercises with real tasks, complemented by the basics and your in-house rules. At the end you have a list of use cases worth pursuing and the next steps.

The workshop takes place at your premises, at our office in Hamburg, online or hybrid. If a task is suitable for automation, we implement it in the next step, up to the first AI agent.

What do AI consulting and AI training cost?

It depends on the scope: a kickoff workshop for management is different from training for several teams or a roadmap with implementation. In the strategy call you get a clear recommendation including a budget range. Consulting services are often up to 80% fundable through BAFA.

Do we have to train our employees under the EU AI Act?

No. We meet every group where it stands. Those already working with AI learn to do it better and more safely. Those who have never used it get a calm introduction.

Does the training take place on site or online?

Both are possible. We work remote-first and use in-person meetings and workshops where they move the project forward: at our office in Hamburg, at yours or hybrid.

Which AI tools do you work with?

We are vendor-neutral. Depending on your needs, this means assistants such as ChatGPT, Claude, Microsoft Copilot or Gemini, image tools or AI features in software you already use. We recommend what fits your tasks and your data protection requirements.

How do we handle data protection?

Together we define which data may go into which tool, and we recommend business plans with suitable contracts instead of private accounts. Confidential and personal data get clear limits. Your data protection officer should be involved; we do not provide legal advice.

What if our team rejects AI?

That is common and understandable. Usually there are concerns behind it: about jobs, about mistakes, about being overwhelmed. Emma Fröhlich (Psychology B.Sc.) designs workshops so that these concerns have room, the team has a say and first wins become visible quickly.

Isn’t an online course enough?

For the basics, a course can help. What is usually missing is the link to your processes, your rules and your tools. That is exactly what we bring: your team practises on the tasks it really has.

What happens after the training?

If you wish, we implement the first applications, up to an AI agent that takes over a task and is approved by your team. For deep integration of ERP, CRM and accounting with AI agents, there is our sister company, the Workflow-Agentur.
