01 / The problem
Your team retypes what could have been automated long ago.
Data is copied between systems, enquiries are forwarded, reports are rebuilt every week. That costs hours your customers never get.
Enquiries wait until someone has time
The enquiry sits in the inbox. Someone reads it, gathers the details and types them into the CRM. By then the prospect may already have asked someone else.
Following up depends on gut feeling
Who has not replied yet? Which quote is still open? Without a fixed process, follow-ups slip as soon as day-to-day business takes over.
Reports are built by hand
Figures from the CRM, campaigns and spreadsheets are copied together every week. That ties good people to a task a machine does better.
There is a better way.
An AI agent takes over the routine between your systems: it reads, checks, creates and prepares. Your team decides and approves.
02 / What we deliver
What an AI agent actually takes on
Not a gimmick in a chat window, but work your team does today. We start where the most time is lost.
Pre-qualify enquiries and route them to the CRM
The agent reads enquiries from forms, email or portals, recognises the request, checks the details and creates the contact and the deal in your CRM. The right person is assigned according to your rules.
- Forms, email and portals
- CRMs such as Propstack or HubSpot
- Assignment by your rules
Follow-ups that do not slip
The agent drafts the reply or follow-up to match the enquiry. If there is no response, it reminds your team. Nothing is sent until it is approved.
- Draft that fits the enquiry
- Reminder when no reply comes
- Sent after approval
Prepare quotes
The agent gathers the details from the enquiry and the CRM, pre-fills your quote template and flags what is missing. Costing and pricing stay with your team.
- Details from enquiry and CRM
- Template pre-filled
- Gaps flagged
Reporting without copy and paste
Figures from your CRM, campaigns and website come together in one report, on a regular schedule and with a short summary of what has changed.
- Data from several sources
- Report on a fixed schedule
- Plain-language summary
Data sync between systems
CRM, ERP, portals and spreadsheets are matched against each other. The agent flags duplicates and gaps before your customers notice them.
- CRM and ERP
- Duplicates and gaps flagged
- Sync on a schedule
Answers from your own knowledge
An assistant that answers from your documents: manuals, contracts, internal know-how. Every answer names its source so your team can check it.
- Your documents as the basis
- Answers with sources
- Access only to what you approve
03 / MCP servers
MCP servers, simply explained: connecting AI to your systems safely
An AI agent needs access to your systems to do its job. The only question is: which ones, and how far.
MCP stands for Model Context Protocol, an open standard. An MCP server works like a reception desk with house rules: the AI makes its request there, and the server only allows the actions you have approved in advance. Find a contact, create a deal, generate a report. Nothing more.
So the agent does not get a master key to your CRM or ERP, just the specific actions its task requires. Every request through the server can be logged.
- Approved actions only, no full access
- Connects to CRM, ERP, calendar and documents
- Every access traceable in the log
- Find contact
- Create deal
- Generate report
- Delete data
- CRM
- ERP
- Calendar
- Documents
04 / To be honest
Not every workflow needs AI.
We use the simplest tool that works reliably. Often that is a fixed rule with no AI at all: easier to check and simpler to run.
Workflow automation
Fixed rule: if this, then that
When the process is always the same, classic automation is enough. It does exactly the same thing every time.
- Transfer form data to the CRM
- Sync feeds and stock on a schedule
- Notify the team when an order comes in
- Pass shop data on to the ERP
AI agent
Agent: when something has to be read and weighed up
When free text has to be understood, classified or written, an agent pays off. It chooses the next step within your rules.
- Classify and pre-qualify free-text enquiries
- Draft replies and follow-ups
- Spot missing details and ask for them
- Summarise documents and answer questions about them
In most workflows both work together: the fixed rule moves the data, the agent handles the points where something has to be read and decided.
05 / Data protection and control
The agent does the groundwork. Your team decides.
AI in a business only works if you always know what it is doing. That is why we build control in from the start.
- 01
A person approves
Anything that leaves the company or changes data permanently is put forward for approval. You decide exactly where approval sits.
- 02
Permissions kept to a minimum
Through the MCP server the agent only gets the actions its task requires. No full access, no entry to areas that are none of its business.
- 03
Every step in the log
What did the agent read, create and suggest, and who approved it? It is all in the log and can be traced at any time.
- 04
Data protection from day one
We choose models and hosting to fit your data protection requirements, on request with operation on servers in the EU, a data processing agreement and documented data flows.
- Enquiry read
- Details checked
- Contact created in CRM
- Follow-up drafted
- Approved by your team
06 / Process
Start small, measure, expand
No open-ended big project. We start with the workflow that costs the most time and expand what proves itself in daily work.
Step 1
Map the process
We look at how enquiries, data and tasks move through your business today, and where time is lost.
- Workflows and systems
- Where data is copied by hand
Step 2
Smallest useful agent
We build the first agent for exactly one workflow, connected to your systems, with approvals and an audit log.
- One workflow, solved properly
- Approvals from the start
Step 3
Measure
Your team works with the agent day to day. Together we look at what it handles, where it asks back and where it needs refining.
- Tested in real daily work
- Feedback from your team
Step 4
Expand
What proves itself gets more tasks. The next workflow is added once the first one runs smoothly.
- More workflows
- More systems connected
07 / Package
The AI agent package: your first agent
One workflow, one agent, properly connected: you see in your own daily work what AI automation brings to your business.
Included in the package
- Mapping the workflow and your systems
- Choosing the first sensible use case
- Connection to CRM, inbox or calendar
- Approvals and audit log from the start
- Testing in daily work with your team
- Evaluation and plan for expansion
Who it is for
For businesses whose team carries enquiries, data and reports back and forth between systems by hand.
In the strategy call we clarify scope and price.

Know-how
AI agents for business: what you should know
What is an AI agent?
An AI agent is a program that uses a language model to complete tasks in several steps. It reads input such as emails or forms, chooses the next step and uses tools to do so, for example the CRM, the calendar or a template.
The difference from a chatbot: a chatbot answers questions in a window. An agent works in the background inside your systems and prepares results that your team checks and approves.
AI automation for mid-sized businesses: where to start?
Ideally where your team transfers the most by hand today: incoming enquiries, follow-ups, recurring reports, syncing between systems. These workflows are frequent, easy to describe and easy to measure.
We recommend starting with a single workflow and solving it properly. That way you see in your own daily work what automation brings before tackling the next one.
- Workflows that happen often
- Workflows with clear rules on who decides what
- Workflows where data moves between systems
What is an MCP server?
The Model Context Protocol (MCP) is an open standard that lets AI applications talk to other systems. An MCP server provides an agent with precisely defined tools, for example "find contact" or "create deal".
For businesses this is above all a question of control: instead of giving the AI broad access, you decide which actions it may perform. Every call can be logged.
Workflow automation with and without AI
Classic workflow automation follows fixed rules: when a form comes in, a contact is created. That is reliable and easy to check. AI comes in where free text has to be understood, classified or written.
In practice both work together. The rule moves the data, the agent handles the points where something has to be read and weighed up. For every step we choose the simplest tool that works reliably.
09 / FAQ
Questions about AI agents
The most important questions, answered briefly. Your question is not here? Ask us directly.
What is an AI agent, and how is it different from a chatbot?
A chatbot answers questions in a window. An AI agent works in the background inside your systems: it reads enquiries, checks details, creates deals in the CRM and prepares replies or reports. Anything that leaves the company is approved by your team.
Which tasks are suitable for an AI agent?
Tasks that happen often and involve reading or writing text: pre-qualifying enquiries and routing them to the CRM, drafting follow-ups, preparing quotes, compiling reports and syncing data between systems. Where a fixed rule is enough, we automate without AI.
What is an MCP server?
MCP stands for Model Context Protocol, an open standard. An MCP server connects an AI agent to your systems and only allows the actions you have approved, for example finding a contact or creating a deal. The AI never gets full access, and every call can be logged.
What about data protection and GDPR?
We plan data protection in from the start. We choose models and hosting to fit your requirements, on request with operation on servers in the EU, a data processing agreement and documented data flows. The agent only gets access to the data its task requires.
What happens if the agent makes a mistake?
That is what approvals are for. Anything that leaves the company or changes data permanently is put to your team first. The audit log shows what the agent read, created and suggested. If something stands out, we refine the agent.
Which systems can you connect?
We connect existing systems, for example CRMs such as Propstack or HubSpot, Personio, your inbox, calendar, vehicle and property portals or your ERP. If there is no suitable interface, we build one.
What does an AI agent cost?
That depends on the workflow and the systems to be connected. In the free strategy call we look at your workflow and give you a clear recommendation including a budget range. Consulting services are often eligible for up to 80 % BAFA funding.
Do we need our own IT department?
No. We handle setup, integration and support. From your team we mainly need knowledge of the workflow and someone who approves and gives feedback in daily work.
When is the Workflow-Agentur the right partner?
When it comes to deep ERP and accounting integrations, MCP server architectures across many systems or projects in corporate structures. That is what our sister agency, the Workflow-Agentur at workflow-agentur.com, is for. Workflows around your website, sales and marketing are automated here at Weber Media.
